What a Healthcare/Legal Operations & Digital Marketing Specialist does

We’re currently seeking an established digital marketing, operations and client services professional with the talent, personality, skills and work ethic that will continue to strengthen our team. Beyond experience and technical ability, we value individuals that will bring fresh ideas, creativity and a collaborative mindset to their work.

The Operations & Marketing Specialist is responsible for the daily coordination of tasks on behalf of Vanguard’s specialty medical and legal clients and internally for the organization’s own projects and legal services. The Specialist collaborates with other Vanguard team members in public relations, client services, tech, digital, creative and legal in order to contribute ideas and deliver on initiatives within the following Vanguard Communications key services areas:

  • Digital marketing: Internet marketing, public relations and client/patient-education services for outreach to prospective and current patients of specialty medical practices and clients of legal firms across North America. We deploy a sophisticated mix of internet search marketing (SEO, content marketing), social media marketing, website development, web content development and management, online reputation management, public relations and online tools.
  • Operations & legal project and client management: Applying core skills in project management, consulting and client services for medical and legal clients, as well as within our own organization. Responsibilities include a combination of behind-the-scenes operational work and direct client support that helps strengthen case management, technology, communications and workflow for our founder’s new immigration law project.

In this context, the Operations & Marketing Specialist must be skilled in multiple disciplines, coupling project management and strategy with tactical task execution to successfully manage ever-evolving healthcare and legal marketing, communications, operations and tech projects. A Specialist must have a teamwork mentality and be able to maintain deadlines, project priorities and timely client follow-up.

The Operations & Marketing Specialist reports to Vanguard’s Vice President and works closely with the CEO, and works with other project managers on each client’s assigned Vanguard team to co-lead strategic plans for clients.

Responsibility details

Digital media – website management, SEO/SEM, social media, online reviews & other marketing deliverables

  • Manages client websites (typically on WordPress CMS), including performing routine web updates and production on new web projects; writes or updates website content and publishes new pages.
  • Performs routine SEO (search engine optimization) tasks, including monitoring client keyword rankings, working with Google Search Console and Google Analytics, creating 301 redirects, and updating content.
  • Manages and oversees performance of client Google Ads, Meta Ads and social media paid boosting.
  • Assists in managing and posting to social media sites including Facebook, Instagram, Twitter and YouTube on behalf of clients and Vanguard.
  • Drafts and sends Vanguard or assigned client email newsletters on MailChimp or another e-newsletter platform.
  • Supports online reputation management special projects and ongoing coordination, including claiming client identities on various rate-your-doctor websites (Google, Yelp, others), as well as assists with monitoring and managing reviews.
  • Occasional news media relations support and public relations.
  • Performs other marketing, web and project management tasks in support of client teams.

Operations & legal project and client management, team communications:

  • Tracks and manages assigned tasks in Vanguard’s task management software on a daily basis. Independently tracks time on each project and strives to stay within time and financial budgets.
  • Assists in the preparation of bimonthly or quarterly marketing and PR reports to clients, including using Google Analytics and Google Data Studio.
  • Assists in project planning and attends staff meetings in order to help coordinate Vanguard’s efforts on behalf of clients and internally.
  • Represents Vanguard in the highest professional manner to clients and prospective clients in phone and email interactions, personal visits with clients, and at professional functions.
  • Provides other administrative support as needed.

Full-time position details

This position is five days a week, 80% in-office, 20% remote flexibility (four days in-office, one day work from home/remote per week). Our office is located in the hip RiNo (River North Art) neighborhood of Denver, with free parking behind our building and within a one-block radius. Each employee has a semi-private personal office space and dedicated computer.

Competitive benefits include health insurance coverage (Vanguard pays ~75% of employee’s monthly premium), dental and vision (Vanguard pays 100% of employee’s premium), and employer-matching retirement fund. Paid time off includes PTO, paid sick time and nine paid holidays.

Management provides regular check-ins with your supervisor, annual performance reviews (including peer surveys), detailed growth plans, and ongoing encouraged/required professional development opportunities.

The position also requires occasional travel (usually one or two times per year at most) to visit new or existing clients.

Salary range for this position (dependent on skill level and years of experience): $55,000 – $70,000 per year.

Required skills & qualifications

  • Bachelor’s degree (or higher) in communications, public relations, journalism, English, digital media, business operations and/or related fields.
  • Two years to five years minimum experience in marketing, public relations, digital media, project management or related field.
  • Strong business writing and editing ability and knowledge of AP style and/or the Chicago Manual of Style.
  • Intermediate to advanced digital media skills (or ability to quickly learn), including experience with one or more of the popular, open-source content management systems (CMS, such as WordPress), graphic design, online advertising, SEO, medical and legal writing and/or social media.
  • Knowledge and experience in managing social media.
  • Working knowledge of Microsoft Office products.

Bonus skills (preferred, but not required)

  • Agency or medical/legal marketing experience.
  • Newsroom or other journalistic experience.
  • Video production and/or editing knowledge and experience.
  • Knowledge of Adobe Photoshop and/or Canva.
  • Online reputation (Yelp, Google) claiming and management experience.
  • Bilingual in Spanish or another language.
